Final Paper Submission Guidelines 

All accepted papers must be re-submitted electronically in their final form (November 30, 2025).

Inclusion of your paper in the official conference proceedings is only guaranteed if all the following steps are completed and the camera-ready version is submitted no later than November 30th, 2025, through the conference Camera-Ready Submission Form.

1. Camera-Ready Paper Version

The final version of each paper must:

• Fully comply with IEEE Xplore® formatting requirements, and
• Be validated using the IEEE PDF eXpress™ tool.
• Incorporate all reviewer comments and follow the official IEEE conference templates (LaTeX or Word).

     2. IEEE Copyright Form

After acceptance, a copyright submission link will be sent to the corresponding author via email.

This link will redirect you to the IEEE Electronic Copyright Transfer (eCF) portal, where you must complete and download the signed copyright form (PDF). You will upload this form under your Paper ID into Camera-Ready Submission Form. 

Guidelines for Preparing Camera-Ready and Copyright Documents

Accepted and presented papers will be published in the IEEE MEPCON2025 Proceedings and submitted to the IEEE Xplore® Digital Library.

Papers that are not presented (no-shows) will not be forwarded to IEEE Xplore®.

Please ensure your camera-ready version:

• Uses either the IEEE LaTeX (IEEEtran) or Microsoft Word conference template (click here to download corresponding template).
• Is submitted only in PDF format.

Steps to Complete the Camera-Ready Submission

Step 1 – Before Creating Your PDF

1. Proofread carefully to confirm that all reviewer comments have been addressed.
2. Add the correct IEEE copyright notice at the bottom of the first page, following IEEE guidelines (see: https://www.ieee.org/publications/rights/index.html). Replace the copyright clearance code (XXX-X-XXXX-XXXX-X/XX/$XX.00 ©20XX IEEE) existing in template file with appropriate one of followings:

• For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
• For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-7716-2/25/$31.00 ©2025 Crown
• For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-7716-2/25/$31.00 ©2025 European Union
• For all other papers the copyright notice is: 979-8-3315-7716-2/25/$31.00 ©2025 IEEE

Verify that the correct notice is included before generating your final PDF.

Step 2 – Create a PDF eXpress™ Account

-Log into the IEEE PDF eXpress Plus™ site

First-time users should do the following:

1. Select “New Users”.

2. Enter the following:

• 66918X for the Conference ID.
• E-mail address.

3. Continue to enter information as prompted.

An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid Go to the IEEE PDF eXpress Plus™ site.

Step 3 – Upload the Final Camera-Ready Version

1. Validate your paper using the IEEE PDF eXpress™ tool. (Upload your paper, wait until the status changes to “Pass”, and then click “Approve Paper” in the Action tab).
2. Download the certified PDF generated by the tool.
3. Name both files (the camera-ready paper and the copyright form) using your paper ID before uploading (Example: ID1234_CameraReady.pdf, ID1234_Copyright.pdf). 
4. Upload the validated PDF and  IEEE Copyright Form  in Camera-Ready Submission Form
5. Once both correctly-named files are uploaded, your submission is complete.

Files submission 

Please use the Camera-Ready (CR) submission form to upload the following final files:

• File 1: ID1234_CameraReady.pdf
• File 2: ID1234_Copyright.pdf
• File 3: ID1234_CameraReady.doc
